Learn how to log in for the first time using your invitation email, temporary password, and set up two-factor authentication.

When you're invited to Rivvi, you'll receive an email with your username and temporary password. Use these to log in at auth.rivvi.ai, then you'll create a new password and set up two-factor authentication (2FA) with an authenticator app.

Note

Two-factor authentication (2FA) is required for all Rivvi users to ensure the security of patient data and maintain HIPAA compliance.


Before You Start

Make sure you have:

  • Access to the email address where your invitation was sent

  • An authenticator app installed on your phone (Google Authenticator, Authy, Microsoft Authenticator, or 1Password)

  • Your invitation email from Rivvi

Tip

Can't find your invitation email? Check your spam or junk folder. Still missing it? Contact your organization admin to resend the invitation. You can also request a new invitation through the Help Center or by contacting your IT department.


Getting Started

Step 1: Find Your Invitation Email

Check your email inbox for your Rivvi invitation. The email will contain three critical pieces of information you'll need to complete your first login:

  • Your username (usually your email address)

  • Your temporary password (a randomly generated secure password)

  • A direct link to log in (takes you straight to the authentication page)

The invitation email is typically sent from noreply@rivvi.ai with the subject line: "Welcome to Rivvi - Your Account is Ready"

What if I didn't receive an invitation?

If you don't see the invitation email within 15 minutes of being added to the system:

  1. Check your spam/junk folder - email filters sometimes catch automated messages

  2. Check for typos in your email address with your admin

  3. Request a new invitation from your organization administrator

  4. Ensure your email server isn't blocking messages from @rivvi.ai domains

Step 2: Access the Login Page

You have two options to access the login page:

Option 1: Use the email link (Recommended)

Click the Go to Rivvi button in your invitation email. This will automatically direct you to the secure login page.

Option 2: Navigate manually

Open your web browser and visit:

https://app.rivvi.ai/login

Important: Security Notice

Always verify you're on auth.rivvi.ai - not app.rivvi.ai - when entering your credentials. The login happens on the auth subdomain for security reasons. This separation helps protect your credentials from phishing attempts and ensures you're connecting to Rivvi's authenticated servers.

Look for the padlock icon 🔒 in your browser's address bar to confirm the connection is secure.

Step 3: Enter Your Temporary Credentials

Now you'll use the credentials from your invitation email to log in for the first time.

  1. Enter your username (from the invitation email)

  2. Enter your temporary password (from the invitation email)

  3. Click the Sign In button

Tip

Passwords are case-sensitive and must be entered exactly as shown in your invitation email. If you're having trouble, try copying and pasting directly from the email to avoid typos. Make sure there are no extra spaces before or after the password.

Understanding Temporary Passwords

Your temporary password is automatically generated by Rivvi's security system and is:

  • Valid for 7 days from the time it's issued

  • Single-use only - you'll create your own permanent password immediately after logging in

  • Highly complex - combining uppercase, lowercase, numbers, and special characters

  • Unique - never reused across different accounts or invitation cycles


Setting Up Your Account

Step 4: Create Your New Password

After signing in with your temporary password, you'll immediately be prompted to create a new, permanent password. This is a required step and cannot be skipped.

Your password is your first line of defense in protecting sensitive healthcare data. Rivvi enforces strict password requirements to maintain HIPAA compliance and protect patient information.

  • password123 - Too common and predictable

  • rivvi2025 - Missing special characters and uppercase

  • 12345678 - Sequential numbers are easily guessed

  • qwerty!1 - Keyboard patterns are not secure

Password Strength Indicator

As you type, Rivvi displays a real-time password strength indicator:

  • 🔴 Weak - Does not meet minimum requirements

  • 🟡 Fair - Meets requirements but could be stronger

  • 🟢 Strong - Meets all requirements with good complexity

  • 🔵 Very Strong - Exceeds requirements with excellent complexity

Steps to set your password:

  1. Enter your new password in the first field

  2. Re-enter the exact same password in the confirmation field

  3. Ensure the password strength indicator shows at least "Strong"

  4. Click Set Password or Continue

Tip: Using a Password Manager

We strongly recommend using a password manager to generate and store your Rivvi password. Popular options include:

  • 1Password - Integrates with browsers and mobile devices

  • LastPass - Free tier available for individual use

  • Bitwarden - Open-source with excellent security

  • Dashlane - User-friendly with automatic password changes

Password managers help you create strong, unique passwords and remember them securely.

Important: Password Security

Never reuse passwords from other accounts. Healthcare data security depends on strong, unique passwords. A compromised password from a data breach on another service could put patient data at risk if reused for Rivvi.

According to HIPAA requirements, healthcare organizations must implement technical safeguards to protect electronic protected health information (ePHI). Your strong, unique password is a critical part of this protection.

Password Expiration Policy

For security purposes, Rivvi passwords expire every 90 days. You'll receive email reminders:

  • 14 days before expiration

  • 7 days before expiration

  • 1 day before expiration

  • On the day of expiration

You can change your password at any time through Settings → Security → Change Password.

Step 5: Set Up Two-Factor Authentication (2FA)

Two-factor authentication (2FA) is required for all Rivvi users. You'll set this up immediately after creating your new password. This additional security layer ensures that even if your password is compromised, unauthorized users cannot access your account.

Understanding Two-Factor Authentication

2FA adds an extra layer of security by requiring two forms of verification:

  1. Something you know - Your password

  2. Something you have - Your phone with an authenticator app

This means that even if someone steals your password, they cannot log in without also having physical access to your authenticated device.

SMS-based 2FA is not supported for security reasons. SMS messages can be intercepted and are not considered secure enough for protecting healthcare data. You must use an authenticator app.

Why SMS 2FA Is Not Allowed

SMS-based two-factor authentication has several vulnerabilities:

  • SIM swapping attacks - Attackers can port your phone number to their device

  • SMS interception - Messages can be intercepted during transmission

  • Social engineering - Attackers can trick carriers into redirecting your messages

  • HIPAA compliance - SMS is not considered a secure communication method for healthcare data

Installing Your Authenticator App

If you haven't already installed an authenticator app, follow these steps:

For iOS:

  1. Open the App Store

  2. Search for your chosen authenticator app

  3. Tap Get or Install

  4. Wait for the download to complete

  5. Open the app and complete initial setup

For Android:

  1. Open the Google Play Store

  2. Search for your chosen authenticator app

  3. Tap Install

  4. Wait for the download to complete

  5. Open the app and complete initial setup

Setting Up 2FA with Rivvi

Once you have your authenticator app installed and ready:

  1. Open your authenticator app on your phone

  2. Tap Add Account, Scan QR Code, or the + button (varies by app)

  3. Point your camera at the QR code displayed on the Rivvi screen

  4. Your app will automatically capture the code and add Rivvi to your accounts

  5. The app will immediately display a 6-digit code

  6. Enter this 6-digit code in the Rivvi verification field

  7. Click Verify or Enable 2FA

Tip: Can't Scan the QR Code?

If you can't scan the QR code (due to camera issues, lighting problems, or using the same device for both):

  1. Look for "Can't scan?" or "Enter manually" link below the QR code

  2. Tap "Enter a setup key" in your authenticator app

  3. Type in the setup key shown below the QR code in Rivvi

  4. Enter "Rivvi" as the account name

  5. Your app will generate codes just as if you scanned the QR code

Testing Your 2FA Setup

After entering your first code successfully, Rivvi will confirm that 2FA is enabled. You'll see:

  • 2FA Enabled - Confirmation message

  • Your account email - Associated with this 2FA setup

  • Device name - The device you're currently using

  • Setup date - Timestamp of when 2FA was configured

Save Your Backup Codes

This is a critical step that many users skip. Do not skip this step.

After enabling 2FA, Rivvi will display 10 unique backup codes. Each code can be used once to log in if you lose access to your authenticator app.

Critical: Backup Codes

If you lose both your authenticator app AND your backup codes, you will be completely locked out of your account. Your administrator will need to manually reset your account, which can take 24-48 hours and may require identity verification.

This is your only opportunity to save these codes during setup. They will not be shown again.

How to save your backup codes:

Option 1: Download as a file (Recommended)

  1. Click the Download Codes button

  2. Save the .txt file to a secure location

  3. Consider saving to an encrypted folder or password manager

Option 2: Print them

  1. Click the Print Codes button

  2. Print to paper

  3. Store the paper in a secure, locked location (safe, filing cabinet, etc.)

Option 3: Store in your password manager

  1. Click Copy to Clipboard

  2. Open your password manager

  3. Create a secure note titled "Rivvi Backup Codes"

  4. Paste the codes and save

Option 4: Write them down manually

  1. Copy each code exactly as shown

  2. Write them on paper and store securely

  3. Label clearly as "Rivvi Backup Codes"

Backup Code Format

Each backup code consists of:

  • 8-10 alphanumeric characters

  • Mix of letters and numbers

  • Case-sensitive

  • Single-use only

Example format: A7K9-M2P4-X1Q3

When to Use Backup Codes

Use a backup code when:

  • Your phone is lost, stolen, or broken

  • You've gotten a new phone and haven't set up the authenticator app yet

  • Your authenticator app was accidentally deleted

  • You're traveling without your authenticated device

  • Your phone's battery died and you need immediate access

Using a Backup Code to Log In

  1. Enter your username and password normally

  2. When prompted for your 2FA code, look for "Use a backup code" link

  3. Click the link

  4. Enter one of your saved backup codes

  5. That code is now consumed and cannot be reused

After using a backup code, immediately set up 2FA on your current device or you'll need to use another backup code next time.

Managing Your 2FA Devices

You can manage your authenticated devices at any time:

  1. Log in to Rivvi

  2. Go to Settings → Security → Two-Factor Authentication

  3. View all devices where 2FA is configured

  4. Remove old or unused devices

  5. Generate new backup codes if needed

Step 6: Complete Your First Login

Congratulations! After setting up 2FA, you're now logged in to Rivvi for the first time.

You'll land on your Dashboard, which serves as your command center in Rivvi. Here's what you'll see:

Using Rivvi

What Happens on Subsequent Logins

Now that your account is fully configured, every time you log in to Rivvi after this first time, you'll need three things:

Login Requirements

  1. Your username (your email address)

  2. Your password (the permanent password you created)

  3. A 6-digit code from your authenticator app

The Standard Login Process

  1. Navigate to https://app.rivvi.ai/login (or use your bookmarked link)

  2. Enter your username and password

  3. Click Sign In

  4. Open your authenticator app

  5. Find the Rivvi entry

  6. Enter the current 6-digit code

  7. Click Verify

Note

The 6-digit code changes every 30 seconds. If a code doesn't work, wait for a new code to appear and try again. Each code is only valid during its 30-second window.

"Remember This Device" Option

To reduce the frequency of 2FA challenges on trusted devices, you can select "Remember this device for 30 days" during login. When enabled:

  • You'll still need your username and password every time

  • You won't need a 2FA code for 30 days on that specific device

  • After 30 days, you'll need to verify with 2FA again

  • This option is only recommended for personal devices, never shared computers

Important: Public Computers

Never select "Remember this device" on public, shared, or work computers. Always require full 2FA authentication on devices others might access.

Session Timeout

For security, Rivvi automatically logs you out after:

  • 15 minutes of inactivity on shared/public computers

  • 4 hours of inactivity on personal devices (if "Remember device" is enabled)

  • 24 hours regardless of activity (maximum session length)

You'll receive a warning 2 minutes before automatic logout, giving you the option to extend your session.

Browser Compatibility

Rivvi stores your session locally in your browser. This means:

  • You'll need to log in separately in each browser (Chrome, Firefox, Safari, etc.)

  • Private/Incognito browsing requires a new login each time

  • Clearing your browser cookies will log you out

  • Multiple tabs in the same browser share the same session

Common Questions

I lost access to my authenticator app. How do I log in?

If you've lost your phone, deleted your authenticator app, or got a new device, you can still log in using your backup codes.

Using a backup code:

  1. Navigate to the Rivvi login page

  2. Enter your username and password

  3. When prompted for your 2FA code, click "Use a backup code instead"

  4. Enter one of your saved backup codes

  5. Click Verify

After logging in with a backup code:

  1. Immediately go to Settings → Security → Two-Factor Authentication

  2. Click "Reset 2FA" or "Add New Device"

  3. Set up 2FA on your new device using the QR code

  4. Save your new backup codes

Important

Each backup code can only be used once. After using it, that code becomes invalid. If you run out of backup codes, you can generate new ones from your Security settings.

If you lost your backup codes too:

Contact your organization administrator or IT support team. They can:

  1. Verify your identity

  2. Temporarily disable 2FA on your account

  3. Allow you to log in and set up 2FA fresh

  4. This process typically takes 24-48 hours for security reasons

Can I use SMS instead of an authenticator app?

No. SMS-based two-factor authentication is not supported in Rivvi.

Why SMS is not allowed:

Security vulnerabilities:

  • SIM swapping - Attackers can trick mobile carriers into transferring your phone number to their device

  • SS7 attacks - Security flaws in the global phone network allow message interception

  • Phishing - Attackers can intercept SMS messages using various techniques

  • Social engineering - Mobile carrier employees can be manipulated

Regulatory compliance:

  • HIPAA requires "technical safeguards" that SMS does not provide

  • SMS is not encrypted end-to-end

  • Healthcare data protection standards require stronger authentication

Alternative if you don't have a smartphone:

  • Use Authy Desktop on your computer

  • Use 1Password on your desktop

  • Contact your administrator about hardware security keys (YubiKey)

My temporary password isn't working. What should I do?

There are several reasons why your temporary password might not work:

Common issues and solutions:

  1. Password expired

    • Temporary passwords are only valid for 7 days

    • Solution: Request a new invitation from your administrator

  2. Copy-paste errors

    • Extra spaces or characters may have been copied

    • Solution: Manually type the password character by character

  3. Case sensitivity

    • Passwords are case-sensitive: Password1!password1!

    • Solution: Check that Caps Lock is off and match the exact case

  4. Wrong username

    • Ensure you're using the email address from the invitation

    • Solution: Double-check the "username" field in your invitation email

  5. Already used

    • Temporary passwords are single-use only

    • Solution: If you already logged in once, use your permanent password

Contact your organization administrator to:

  • Verify your email address is correct in the system

  • Resend a new invitation with a fresh temporary password

  • Check if your account has been suspended or deactivated

Can I skip 2FA setup and do it later?

No. Two-factor authentication setup cannot be skipped or postponed.

Why 2FA is mandatory:

  • HIPAA Compliance - Healthcare data protection regulations require multi-factor authentication

  • Patient Privacy - Protected Health Information (PHI) demands the highest security standards

  • Risk Mitigation - 99.9% of account compromises could be prevented with 2FA

  • Organizational Policy - Your healthcare organization has set this as a requirement

The 2FA setup is part of the first-login flow and must be completed before you can access Rivvi's features.

If you're having trouble with 2FA:

  • Ensure your phone has an internet connection (for downloading the authenticator app)

  • Make sure your phone's camera works (for scanning QR codes)

  • Try a different authenticator app if one isn't working

  • Contact IT support for assistance with the technical setup

What if I'm already logged in on another device?

You can be logged in to Rivvi on multiple devices simultaneously. Rivvi supports concurrent sessions across different devices and browsers.

How multi-device access works:

  • Each device requires separate authentication - You must log in with username, password, and 2FA on each device

  • Sessions are independent - Logging out on one device doesn't affect others

  • Security monitoring - Rivvi tracks which devices you're logged in on

  • Activity logging - All actions are logged regardless of which device you use

Viewing active sessions:

  1. Go to Settings → Security → Active Sessions

  2. See all devices where you're currently logged in

  3. Review device information: browser, operating system, IP address, last activity

  4. Terminate any suspicious or old sessions

Maximum concurrent sessions:

  • Standard users: Up to 5 active sessions

  • Administrators: Up to 10 active sessions

  • After reaching the limit, the oldest inactive session is automatically terminated

Security Best Practice

Regularly review your active sessions and terminate any you don't recognize. If you see suspicious activity, immediately:

  1. Sign out of all sessions

  2. Change your password

  3. Reset your 2FA

  4. Contact your IT security team

How do I bookmark the login page?

Creating a bookmark ensures you always access Rivvi's legitimate login page and helps protect against phishing attempts.

Correct URL to bookmark:

https://auth.rivvi.ai

Do NOT bookmark:

  • https://app.rivvi.ai - This redirects to auth.rivvi.ai but adds an extra step

  • Any URL with additional parameters or query strings

  • Any URL not on the rivvi.ai domain

Security Tip: Recognizing Phishing

Always verify you're on the legitimate Rivvi login page:

  • Check the URL is exactly auth.rivvi.ai

  • Look for the 🔒 padlock in the address bar

  • Verify the SSL certificate by clicking the padlock

  • Never enter credentials on pages linked from emails (type the URL manually or use your bookmark)


Troubleshooting Login Issues

"Invalid credentials" error

This error appears when your username or password doesn't match what's in Rivvi's system.

Step-by-step troubleshooting:

  1. Verify your username

    • Use your full email address, not just your name

    • Check for typos in the email address

    • Ensure there are no spaces before or after

  2. Check your password

    • Passwords are case-sensitive

    • Ensure Caps Lock is OFF

    • Check for accidental spaces

    • Try typing slowly and deliberately

  3. Copy-paste carefully

    • If copying from your invitation email, ensure you select only the password

    • Watch for extra spaces at the beginning or end

    • Consider typing it manually if copy-paste isn't working

  4. Verify you're using the right password

    • Are you using your temporary password (first login) or permanent password (subsequent logins)?

    • If this is your first login, the temporary password expires after 7 days

  5. Browser issues

    • Clear your browser cache and cookies

    • Try a different browser

    • Disable browser extensions that might interfere with login

  6. Request new credentials

    • If your temporary password has expired, contact your administrator

    • Request a password reset if you've forgotten your permanent password

Your account may be:

  • Not yet activated in the system

  • Suspended or deactivated

  • Locked due to too many failed attempts (see Account Locked section below)

Contact your IT support team with:

  • Your full name

  • Your email address

  • The exact error message

  • When you received your invitation

"Invalid 2FA code" error

The 2FA code from your authenticator app isn't being accepted.

Why this happens:

The most common cause is time synchronization issues. Authenticator apps generate codes based on the current time, and if your phone's clock doesn't match Rivvi's servers, the codes won't work.

Immediate solutions:

  1. Wait for a new code

    • Codes expire every 30 seconds

    • Wait for the current code to expire and a fresh one to appear

    • Enter the new code immediately

  2. Check your phone's time settings

    iPhone:

    • Go to Settings → General → Date & Time

    • Enable "Set Automatically"

    • Restart your phone

    Android:

    • Go to Settings → System → Date & Time

    • Enable "Use network-provided time"

    • Restart your phone

  3. Verify you're using the correct account

    • Open your authenticator app

    • Ensure you're reading the code from the "Rivvi" entry, not another account

    • Check if you have multiple Rivvi entries (from different devices) and delete old ones

  4. Re-sync your authenticator app

    Google Authenticator:

    • Open the app

    • Tap the three dots (⋮) menu

    • Select "Settings"

    • Tap "Time correction for codes"

    • Tap "Sync now"

    Authy:

    • Time sync is automatic, but restart the app

    Microsoft Authenticator:

    • Time sync is automatic and usually doesn't require manual intervention

  5. Try entering the code more quickly

    • Copy the code from your authenticator app

    • Paste it immediately into Rivvi

    • Don't wait until the timer is about to expire

Still not working?

  • Use a backup code to log in (if you have them saved)

  • Contact your administrator to temporarily reset your 2FA

  • Set up 2FA fresh on your device

Preventing this issue:

  • Always keep your phone's time set to automatic

  • Keep your authenticator app updated

  • Don't manually change time zones on your device

  • If traveling internationally, let your phone automatically update time zones

Can't scan the QR code

Unable to scan the QR code during 2FA setup can happen for several reasons.

Common causes and solutions:

  1. Camera permission denied

    Your authenticator app doesn't have permission to access your phone's camera.

    iPhone:

    • Go to Settings → Privacy & Security → Camera

    • Find your authenticator app in the list

    • Enable camera access

    • Return to the app and try again

    Android:

    • Go to Settings → Apps → [Authenticator App]

    • Tap Permissions

    • Enable Camera permission

    • Return to the app and try again

  2. Poor lighting or reflections

    • Move to a well-lit area

    • Avoid overhead lights that create glare on your screen

    • Tilt your screen slightly to reduce reflections

    • Increase your screen brightness

  3. QR code too small or large

    • Zoom your browser in or out to adjust QR code size

    • Try fullscreen mode (F11 on most browsers)

    • Move your phone closer or farther from the screen

    • Optimal distance is usually 6-12 inches

  4. Using the same device for both

Every QR code has a text version you can enter manually:

  1. Look for a link that says:

    • "Can't scan?"

    • "Enter manually"

    • "Use setup key"

    • "Manual entry"

  2. Click that link to reveal a text string like:

    JBSWY3DPEHPK3PXP
  3. In your authenticator app:

    • Tap "Enter a setup key" or "Manual entry"

    • Account name: Rivvi

    • Your email: [your email address]

    • Key: [paste or type the setup key]

    • Time-based: Yes/Enabled

  4. Your authenticator will now generate codes just as if you scanned the QR code

Browser-specific issues:

  • Chrome: Ensure site has camera permission (look for camera icon in address bar)

  • Firefox: Check that you haven't blocked camera access for the site

  • Safari: Camera access needs to be granted per-site

Account locked

Your account automatically locks after multiple failed login attempts to protect against unauthorized access.

Lock triggers:

  • 5 consecutive failed password attempts = 15-minute lockout

  • 10 consecutive failed password attempts = 1-hour lockout

  • 15 consecutive failed password attempts = Account locked until administrator intervention

During lockout:

You'll see a message like:

Your account has been temporarily locked due to multiple failed login attempts. Please try again in 15 minutes.

What to do:

  1. Wait for the lockout period to expire

    • 15-minute locks are temporary and automatic

    • Don't keep trying during the lockout - this extends the timer

    • Use this time to verify you have the correct password

  2. Verify your credentials

    • Check you're using the right username (email address)

    • Confirm whether you should use temporary or permanent password

    • Check Caps Lock is off

    • Look for typos

  3. After the lockout expires

    • Try logging in carefully with verified credentials

    • If unsuccessful, don't try more than 3 times

    • Request a password reset instead

If locked after 15 failed attempts:

Your account requires administrator intervention to unlock:

  1. Contact your organization's IT support or Rivvi administrator

  2. Provide:

    • Your full name

    • Your email address

    • Approximate time of the lockout

    • Whether you were using a temporary or permanent password

  3. Identity verification will be required:

    • Verbal confirmation of personal details

    • Security questions

    • Possibly a photo ID if in-person

  4. Administrator will unlock your account and may:

    • Reset your password

    • Reset your 2FA

    • Provide a new temporary password

  • During business hours: Typically 1-2 hours

  • After hours: Next business day

  • Emergency access: Contact 24/7 IT support line if available

Preventing account lockouts:

  • Use a password manager to avoid typos

  • Don't try to "guess" your password - request a reset instead

  • Keep your temporary password email accessible during first login

  • Write down your permanent password temporarily until memorized (then destroy the note)

  • Enable password manager browser extension for auto-fill

Security Note

Account lockouts are a security feature, not a bug. They prevent brute-force attacks where hackers try thousands of password combinations. While inconvenient, they protect your account and patient data.
